Setting up your Microsoft 365 Exchange Online account on the iOS Mail app ensures you can stay connected to your emails, calendar, and contacts wherever you go. Whether you’re using an iPhone or iPad, the process is straightforward and only takes a few minutes. This guide will walk you through each step—from adding your account to configuring the right settings—so you can start sending and receiving messages seamlessly through Apple’s built-in Mail app.
How to setup
Before you start:

Your Microsoft 365 email address and password

If your organization uses MFA, have the Microsoft Authenticator app (or your chosen MFA method) ready
Standard setup
1. Open Settings on your iPhone/iPad.
2. Tap Mail → Accounts → Add Account.
3. Choose Microsoft Exchange.
4. Enter your Email address (e.g., name@yourcompany.com) and an optional Description (e.g., “Work”), then tap Next.
5. On the prompt, tap Sign In (not Configure Manually).
6. You’ll be redirected to Microsoft 365 sign-in:
• Enter your password, tap Sign in.
• Complete Multi-Factor Authentication if prompted.
• If you see a permissions screen, tap Accept.
7. Choose what to sync: Mail, Contacts, Calendars, Reminders, Notes. Tap Save.
8. Open the Mail app. Your mailbox will begin syncing. (Large mailboxes can take a while to fully load.)
Recommended tweaks (optional)

Mail preview & swipe actions: Settings → Mail → Customize as you like.

Notifications: Settings → Notifications → Mail → select your account → choose banner style, sounds, badges.

Sync period: Settings → Mail → Accounts → your account → Mail Days to Sync (e.g., 1 Month, No Limit).

Fetch vs. Push: Settings → Mail → Accounts → Fetch New Data → enable Push for faster updates (if supported by your org).
